What is Waitlist?
A waitlist is the queue of clients who want an earlier or currently unavailable slot, used to refill cancellations automatically. When an appointment opens, the system offers the slot to matching waitlisted clients by service, provider, and time preference, typically over text, with the first acceptance winning the slot.
How it works in an aesthetic clinic
A 2pm Botox cancellation at 11am used to die on the calendar. With an active waitlist, the three clients whose preferences match get a text within minutes; the first to confirm takes the slot, with charting and deposit handled automatically. The cancellation becomes a kept appointment with no phone tag and no front-desk scramble.
Waitlist vs overbooking
| Waitlist | Refills capacity after a cancellation actually happens; no service risk |
|---|---|
| Overbooking | Sells the same capacity twice betting on no-shows; service breaks when the bet loses |
Why it matters for clinic operators
Cancellations are inevitable; empty chairs are optional. A waitlist that fires automatically converts the difference into recovered revenue that required no marketing spend at all.
