Buyer’s guide · Checked August 2026

How much does med spa software cost?

The honest answer is a map, not a number — because the category prices four different ways. Every figure below comes from a vendor’s published pricing page as of August 2026, with the models that quietly grow the bill called out.

The four pricing models (and what they do to your total)

Flat per clinic— one price, unlimited team. Your bill is known in advance and hiring doesn’t change it (Gracero: $149 or $299/month, everything on the tier included). Per location, tiered — Boulevard publishes $140–$410 per month per location on annual billing, with capabilities moving up the tiers and add-ons on top. Base plus per user — Mangomint runs $120/month plus $10 per active user; AestheticRecord prices per user from roughly $15–19/month. Cheap solo, compounding with every hire. Quote-only — Zenoti and other enterprise vendors publish nothing; expect per-location proposals, implementation fees, and term contracts.

What you should pay, by clinic size

A working benchmark from the published figures above: a solo operator can run real software for $130–$200/month — per-user models are at their best here. A single-location clinic with 4–10 staff should expect $150–$400/month all-in; inside that band, what varies is how much lives in add-ons versus the base price, and whether the aesthetic layer is included at all. A small group (2–5 locations) multiplies per-location pricing fast — $300–$1,200+ across the portfolio — which is where quote-based enterprise deals start competing. If a quote lands far outside these ranges, ask what specifically justifies the gap.

The total cost of ownership checklist

Before comparing platforms, configure each one honestly: the tier your services need, per-user fees at your real headcount, the forms/texting/marketing add-ons your workflow requires, SMS allowances and overage rates, payment-processing rates and any gateway fees, onboarding or implementation charges, and the contract term. Then divide by what it replaces — most clinics run three to six overlapping tools, and consolidation is where the real savings live. Our pricing page publishes every one of those numbers for Gracero, and the buyer’s guide scores nine platforms side by side.

Questions, answered

Everything you're wondering.

Published entry prices in the category run roughly $99–$195 per month per location, but the real total depends on the model: per-user fees add $10–$19 per team member on some platforms, forms/texting/marketing are often paid add-ons, and top published tiers reach $410/month per location — while enterprise vendors don't publish prices at all. All-in platforms with flat pricing (Gracero is $149–$299/month) avoid the per-seat math entirely.
The usual four: clinical forms and charting sold separately, phone/two-way texting as a module, marketing suites priced on top, and payroll. A platform that looks $100 cheaper per month frequently passes that back through two or three add-ons — compare the configured total, not the entry tier.
No — several, including enterprise platforms like Zenoti and some EMR-leaning vendors, sell exclusively through sales quotes. That's workable for chains with procurement teams; for an independent clinic it means you can't budget without a sales cycle. Published pricing is worth treating as a trust signal in its own right.
Never — processing is always a separate per-transaction rate, and it varies more than subscription pricing does. Look for published rates (Gracero's are 2.5% + $0.15 card-present, 3.2% + $0.25 online) and watch for monthly gateway fees or rate markups hidden behind 'contact us.'
